PERSONAL DATA PROTECTION NOTICE

This Personal Data Protection Notice (“Notice”) describes how we, the Singapore Tennis Association, process Personal Data that is collected by or submitted to us.

By providing any Personal Data to us, or by using [https://www-new.singtennis.org.sg] (the “Portal”) (which includes creating an account and/or accessing the Portal), you consent to the collection, use and disclosure of your Personal Data in accordance with this Notice.


1. ABOUT US & DPO CONTACT DETAILS

This Notice applies to all Personal Data that is provided to us, whether through the Portal or via any other means.

We, the Singapore Tennis Association (“STA”), are a registered society in Singapore (UEN S62SS0049E) dedicated to the promotion and development of tennis and the tennis community in Singapore. STA provides a variety of services as detailed on our website (https://www.singtennis.org.sg/Default.aspx), including but not limited to conducting tennis lessons, coaching courses, organising and officiating tennis tournaments, administering tennis rankings and providing tennis facilities. All references in this Notice to “we”, “us” or “our” are to STA.

Please note that some STA events and activities involve collection, use and/or disclosure of Personal Data that is not covered by this Notice. In such cases, there will be additional notice(s) to inform you of how STA will collect, use and/or disclose Personal Data. Before participating in such events and activities, you must read the additional notice(s) and decide if you wish to consent.


2. PERSONAL DATA WE COLLECT

Personal Data” refers to any data from which an individual can be identified, either from that data alone or from that data together with other information to which we have or are likely to have access.

We may collect or receive the following types of data from you, which may constitute Personal Data. The below is not exhaustive.

(a) Name;
(b) NRIC, passport or other identification number;
(c) Contact numbers;
(d) Email address;
(e) Mailing and residential address;
(f) Date of birth;
(g) Nationality;
(h) Age;
(i) Gender;
(j) Username and password;
(k) Social media handles and related information;
(l) Photographs, video and audio from STA events and activities;
(m) Bank account information;
(n) Sports, performance and ranking information, including but not limited to performance records, achievements, information from your participation in STA events and activities and rankings (including but not limited to International Tennis Federation and/or Asian Tennis Federation rankings);
(o) Login data to the Portal, including but not limited to login or access date and time;
(p) Internet Protocol (IP) address;
(q) Browser information, including but not limited to type and version of browser and whether any plugins are used;
(r) Operating system information;
(s) Device hardware and software information;
(t) Geographic, location and time zone data;
(u) Your usage of the Portal, including but not limited to types of content browsed, searches, content interacted with and favourite content;
(v) Your preference(s) in receiving marketing from us and your communication preference(s);
(w) Any other information provided to us by you.

If you are an employee of STA or apply for any employment, contract, volunteer or similar roles with STA, we may also collect or receive the following types of data from you, which may constitute Personal Data. The below is not exhaustive.

(a) Employment, work and/or training history;
(b) Academic, sports and other professional qualifications and certifications;
(c) Salary information;
(d) Any other information provided to us in your application, including in your resume and during the interview process;
(e) Any other information uploaded or recorded on electronic devices provided by STA for employee use;
(f) Performance assessments, disciplinary records and other information relevant to your employment, including information about work-related medical conditions and disabilities.

The above data is collected or received from you in a variety of ways. Non-exhaustive examples include:

(a) Joining STA or submitting an application to join STA as a member, coach, volunteer, sponsor, official and/or employee;
(b) Participating in STA events and activities (including but not limited to tennis lessons, coaching and officiating courses and tennis tournaments);
(c) Creating an account on and/or using the Portal;
(d) Responding to our surveys, providing us with feedback or contacting us about any matter, whether via email, letters or telephone calls.

Additionally, you may also provide Personal Data of other individuals to us in some circumstances (for e.g., your emergency contact(s)) and if you do so, you warrant that you have obtained their consent for their Personal Data to be collected, used and disclosed in accordance with this Notice.


3. HOW WE USE PERSONAL DATA

We use Personal Data for the following purposes and any other purposes we reasonably consider to be compatible with the stated purposes:

(a) Administering and managing STA memberships, including but not limited to maintaining the register of past, present, prospective or future members, administering membership applications and performing KYC and identity verification checks;
(b) Providing STA’s services, including but not limited to organising and facilitating your participation in STA events and activities, facilitating your use of STA facilities, processing any applications submitted by you to us, administering rankings, facilitating selection for national teams;
(c) Providing support to members in relation to trainings, competitions, tournaments, health and medical needs, safety and welfare requirements, including but not limited to providing student support services, counselling, career advice and health and medical services;
(d) Administering of World Tennis Number and any other rankings, including but not limited to local and regional rankings;
(e) Assessing eligibility for and awarding of scholarships, training and other awards to STA members;
(f) Processing of bills and payments;
(g) Communicating with you regarding relevant matters, including but not limited to STA’s services, responding to your feedback, complaints or enquiries, sending you invitations to STA events and activities, and notifying you of any changes to the Portal;
(h) Performing data analytics and generating reports, including but not limited to internal reports, statutorily required reports and STA’s annual report;
(i) Conducting market research;
(j) Managing the business and operations of the STA, include but not limited to administering internal policies and procedures and ensuring the safety and security of STA’s properties and systems;
(k) Marketing, promotion and advertising purposes, including but not limited to sharing information about relevant benefits and rewards from our sponsors;
(l) Publicity purposes, including but not limited to publishing event photographs; media articles; membership, event and activity updates; and/or any other publicity materials which may showcase STA members and/or members’ achievements and include your photographs;
(m) Improving the services provided by STA, including but not limited to the Portal, STA events and activities;
(n) Complying with legal requirements;
(o) Any other purposes to which you have consented;
(p) Any purposes which are permitted by law;
(q) Any other purposes which are incidental to or related to the above.

If you are an employee of STA, in addition to the above purposes, we will also use Personal Data for the following purposes and any other purposes we reasonably consider to be compatible with the stated purposes:

(a) Performing our obligations under or in connection with your employment contract with us;
(b) Performing our obligations under or in connection with STA’s provision of goods and services;
(c) Administrative and human resources related matters, including but not limited to administering payroll, processing leave applications, administering employment benefits, processing claims and expenses, investigating any suspected or actual acts or defaults and ensuring business continuity in the event you resign or your employment is terminated;
(d) Managing and terminating your employment relationship with us, including but not limited to investigating any potential contraventions of STA policies, your employment contract or resolving any employment related grievances;
(e) Assessing and evaluating your suitability for employment or appointment to any position within STA.


4. MARKETING, PROMOTION AND ADVERTISING COMMUNICATIONS

If you have consented to us sending you marketing, promotion or advertising communications and provided us with your email address, mobile phone number or other contact details, we may send you such communications based on your indicated preference(s) (e.g. by email, SMS, WhatsApp, etc.).

You can choose not to receive such communications at any time, by indicating your preferences in your account settings page or by otherwise informing us.


5. DISCLOSURES & TRANSFERS OF PERSONAL DATA

We may disclose and/or transfer Personal Data as follows, in connection with the purposes in Section 3:

(a) To Singapore-based third party goods and services providers and/or vendors; and/or

(b) Internationally to third party goods and services providers and/or vendors located outside Singapore.

The third parties include but are not limited to our event and activity partners, payment services providers, sponsors, data centre providers, and/or other external vendors. Some of these third parties may require you to accept or subject your access and use of their goods and services to their terms and conditions (e.g. terms of use, personal data policy). You are strongly encouraged to read the terms and conditions of these third party goods and services providers.

We will not disclose or transfer your Personal Data outside Singapore except to jurisdictions which have data protection laws which offer at minimum an equivalent level of protection to Singapore law, or we will use tools to ensure that your Personal Data will be given the aforesaid level of protection (e.g. via contractual protections).


6. COOKIES

We use cookies or other similar technologies on the Portal to improve and customise your browsing experience. Cookies are small text files that we store on your browser or on your device. These enable us to recognise and remember a particular browser or device, collect data for the purposes outlined in Section 3, and also facilitate the performance of some functions of the Platform.

You are deemed to have consented to our cookies policy if you continue browsing our site.

You can adjust settings on your browser so that you will be notified when you receive a cookie. Should you wish to disable the cookies associated with these technologies, you may do so by changing the settings on your browser. However, by doing so, you may not be able to use certain functions or enter certain part(s) of our websites.


7. DATA SECURITY

We have implemented security measures to protect Personal Data from accidental loss and unauthorised access or use. Additionally, access and use of your Personal Data is limited to our employees, agents, contractors and third parties on a need-to-know basis and subject to confidentiality obligations.

However, you should note that no method of Internet transmission or electronic storage is completely secure. You must also ensure you implement reasonable security measures and practices to prevent accidental loss and unauthorised access to or use of your Personal Data:

(a) Use a strong and unique password for your account on the Portal;

(b) Never share your password with anyone, including anyone from STA;

(c) Implement good practices to prevent accidental discovery of your password by unauthorised parties (e.g., do not write your password down and leave it where others can view it);

(d) Limit access to your devices and browsers you use to access your account on the Portal;

(e) Log out once you have finished using the Portal, especially if you are on a shared device.


8. RETENTION OF PERSONAL DATA

We retain Personal Data only for as long as reasonably necessary for the purposes in Section 3, for any purposes permitted by law, and for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.


9. ACCURACY OF PERSONAL DATA

We rely on your Personal Data to provide some of our services and the Portal. Therefore, you must ensure that your Personal Data is up to date, complete and accurate. Please update us if there are any changes to your Personal Data by using the account settings page on the Portal. If the relevant Personal Data cannot be updated via the Portal, please write to us at info@singtennis.org.sg.


10. ACCESS & CORRECTION OF PERSONAL DATA

If you have an account on the Portal, you can access and/or correct your Personal Data currently in our possession or control through the account settings page.

If you do not have an account with us, or if you wish to access and/or correct your Personal Data that is not available through the account settings page (if any), you may request for access to and/or correction of your Personal Data that is within our possession or control by sending an email to us at info@singtennis.org.sg:

(a) In order to process your request, we may require you to provide additional information about your request, to verify your identity and entitlement to exercise access to or correct your Personal Data;

(b) We may charge a reasonable fee before we agree to process your request;

(c) We may refuse your request if it is unfounded, repetitive or excessive, if you refuse to pay the fee, or where we are otherwise permitted to do so by law;

(d) We will inform you within thirty (30) days of the time it will take to process your request.


11. WITHDRAWING CONSENT TO COLLECTION, USE AND/OR DISCLOSURE OF PERSONAL DATA

Where we rely on consent to collect, use and/or disclose your Personal Data, you can withdraw your consent at any time by sending an email to us at info@singtennis.org.sg:

(a) In order to process your request, we may require you to provide additional information about your request, to verify your identity and entitlement to withdraw consent;

(b) We typically process consent withdrawal requests within ten (10) business days. We will notify you if there are any delays or additional time required.

Please be aware that withdrawing your consent may mean that we may be unable to continue providing the Platform or any part of its services to you and we may need to terminate your account, membership and/or other relationship with us.


12. PERSONAL DATA OF PERSONS BELOW AGE 13

Person(s) below 13 years of age are not permitted to submit any Personal Data to STA, whether via the Portal or otherwise, unless a parent and/or legal guardian provides consent to this Notice on their behalf.

We do not knowingly collect, use or disclose any data from any person(s) below 13 years of age. However, it is impossible to identify the age of all person(s) who interact with us via the Internet (e.g. by accessing the Portal). Parent(s) and legal guardian(s) must be responsible for the activities of person(s) of their children and wards on the Internet, and if you become aware that any such person has accessed, used or submitted Personal Data to us without valid consent being given on their behalf, please inform us immediately so that we may take the necessary action (e.g. closure of accounts, deletion of Personal Data, etc.)


13. CHANGES TO THIS NOTICE

We may make changes to this Notice at our discretion. You will be notified of the amended Notice via the email address associated with your account on the Portal and/or membership with us, and the amended Notice will be posted to the Portal. Your continued relationship with STA and/or use of the Portal constitutes your acceptance of this Notice as amended.


14. LINKS TO OTHER WEBSITES

While using or interacting with the Portal and our social media pages, you may come across links to third party websites. If you click on or follow any of those links, please be aware that third party websites have their own personal data policies and STA has no responsibility or liability for those policies. It is your responsibility to check those policies before using or submitting any data to any of those websites.
